A critical feature for your business is to track the amounts you owe and are owed to at all times. Elorus is configured in such a way that getting this information is easy, fast and detailed regardless where you are. Through the application, in different places and in different ways, you can retrieve information about the overdue purchase or sales documents.


Inside the organization's home page


Your home page is actually the address you designated upon registration in the URL field (eg companyname.elorus.com). The first page you see after logging in the application is the home of your organization. At the bottom of this page Elorus displays some lists concerning overdue sales and purchases, so you can get useful your financial situation "at a glance" . To obtain results, your documents should have a due date (which has elapsed) which you can set upon creation and not just be outstanding (ie. be in "Issued" state).




By clicking the "eye" icon next to each document, you are taken to the display page for more details and options to take action. For example, you can resend the document via Email to your customer to remind them its payment is overdue.


In the picture below you see the total overdue amounts relating to purchases and sales.





Clicking on the arrow next to the overdue totals, you are taken directly to the respective document management list (sales or purchases) for more information. As you will notice, Elorus has applied the appropriate filters on the list to show all overdue documents.


Through the document management menu (Sales / Purchases)


If you wish to see more detailed results, please visit "Invoicing -> Document management" (sales or purchases). In the example below, we will demonstrate how you can see results regarding documents issued in the current year, that are overdue and the due date on which they ought to have been paid by customers. The steps are as follows whether we want to see results for sales or purchase documents:

  1. Inside "Period" click "This year". 
  2. From Filters select "Overdue: Yes." 
  3. Inside  "Columns" select the preferred ones, including "Due to".



When creating sales documents


If a certain customer owes money from previous transactions, this information is displayed in the form of a notification upon adding a new document to that contact. If you select the customer from the relevant field Elorus will display a message similar to the image below that shows the overall balance and not just the overdue amounts:



Aggregate reports through purchases / sales documents

The reports menu is particularly useful for monitoring overdue documents, with subtotals per contact and the total amount due. In the following example we will create a table that includes all documents, regardless of the period, that are overdue with results grouped by customer.

The steps are as follows for sales or purchase documents :

From the main menu select "Reports -> All reports -> Invoicing reports -> Reports per record type -> Invoices report (or Purchases)."
  1. In the "Period" click on the "All" option.
  2. From Filters select "Overdue: Yes."
  3. Inside "Options" select among others "Due to" and in the "Group by" select "Client" (or supplier for purchases).
  4. Click the "Update" button

The system will create a table similar to that of the image below:
